What Kind of Business Support Do You Actually Need? A Guide for Female Entrepreneurs

A Guide for Female Entrepreneurs Who Are Scaling Smarter

If you’ve ever asked yourself…

“Should I hire a VA… or do I need an OBM?
Wait, maybe it’s a project manager?”

…you’re not alone.

One of the biggest reasons growing businesses stay stuck in overwhelm is not because the CEO isn’t working hard enough. It’s because they’re hiring the wrong kind of help for the stage of business they’re in.

Let’s break down what kind of business support you actually need based on where you’re at in your business and how to layer the support in the right way to support your growth without burning yourself (or your team) out.

Stage 1: Early-Stage Entrepreneurs (Under $200K/year)

You’re building the foundation of your business. You need execution help, someone to take tasks off your plate so you can stay in your zone of genius.

✅ Who you need:
A Virtual Assistant (or two) with clearly defined tasks like inbox management, content scheduling, basic admin, customer management and backend support.

❌ What you don’t need yet:
An OBM or high-level strategist. You need to implement more than you need to optimize.

Stage 2: Scaling into Mid-Six Figures ($200K–$700K/year)

You’ve grown quickly, but the backend is messy. As you grew, your systems didn’t always grow with you. Maybe this wasn’t your zone of genius. You are the creative, not the backend person. You’re doing more, selling more, maybe managing a team, but your systems haven’t caught up.

✅ Who you need:
A Business Efficiency Partner to help you streamline your systems, clarify team roles, and get your operations humming again.
(👋 That’s in part what I do. You can book an Efficiency Audit here to get started.)

From there, you’ll want to layer in:

  • A Project Manager or Launch Manager to handle timelines and day-to-day task delegation
  • A VA for implementation and admin support
  • Possibly a social media manager depending on your strengths in your business.
  • Potentially an online business manager (OBM) once you have clarity in your systems framework to support the execution of the business day to day (this can be in place of a project manager)

This combo allows the Business Efficiency Partner to act as your strategist + architect, and then your team runs the playbook.

Stage 3: Seven-Figure CEO ($1M+ Revenue)

At this stage, your business is a machine, with a lot of moving parts. You’re managing a full team, have multiple offers, multiple sales channels, and need to be in your CEO seat, not answering Slack messages or fixing SOPs.

✅ Who you need:
A full-time Director of Operations or COO-type OBM to oversee execution and day-to-day
+
A Consulting Partner or Business Efficiency Partner (like me!) to support with high-level strategy and operational structure without the pressure of being in the weeds.

Here’s What Most Business Owners Get Wrong:

They hire an OBM too early… and expect them to be everything.

Yes, an OBM can:

  • Create and streamline systems
  • Manage team capacity
  • Oversee launches and timelines
  • Be the filter between you and your team

But if your backend is messy or unclear? Is your business so big that capacity wise they can’t do it all. Even the best OBM will struggle to succeed because expectations will be too high, especially in a part-time role.

That’s why I always recommend starting with a Business Efficiency Audit.

It’s a 60-minute working session to identify exactly where your operations need to evolve and what kind of support you really need next.

Still Not Sure Where You Fit?

Here’s a quick test:

  • Are you spending more than 5 hours/week managing your team?
  • Are you the only one who knows how your backend works?
  • Do things still fall through the cracks no matter how many people you hire?

If yes, you don’t just need more help.
You need better structure.

Let’s fix that together.

Start with an Efficiency Audit and we’ll map it out, step-by-step so you have a clear path forward.
